The Finances tab provides a detailed overview of costs associated with your bookings. It's divided into three categories: Rental Items, Rental Costs, and Vehicle Costs.
All three list the financial details of your rental company. The data listed here can be filtered by various criteria and exported to an Excel spreadsheet.
The first column shows either the rental or the vehicle. Click on either to view and edit its details. The second column lists the specific item. The following columns provide additional information:
Please note that the current version of the Finances page does not have advanced cost analysis or reporting features.
The Rental Items list includes items like child seats, vignettes, and parking tickets that were previously added to a customer's rental details on the Financial Data tab. You can also add any fines, such as parking tickets or speeding fines.
Under Rental Items, the first column shows the rental associated with the item, while the second column lists the item itself—this can be the rental vehicle or additional equipment like a bike rack or GPS.
Your rental item will appear on this page if you first create the item as an Outgoing invoice item in Products and then add it to your customer's Costs on the Financial Data tab as shown previously.
Rental Costs refer to the expenses incurred by your vehicle rental company. You add these costs on the Rental Details page within Financial Data, similar to Rental Items. However, unlike Rental Items, these costs must be added at the bottom of the page in the Costs section. These represent your company’s expenses per booking.
You can fully customize your rental costs by creating and adding any items you need.
The currency of costs here is defined by the currency set for the rental.
To account for future costs, you can create new items as Incoming invoice items in Products, then add them to the rental as mentioned before, i.e. in the Costs section of the Financial Data tab.
In this list you will find costs and expenses associated with your vehicles. The costs that you manage in the Service List on the Vehicles tab are displayed here.
In the Vehicle Costs list, you can keep track of your vehicle costs such as windscreen replacement or the cost of new car accessories.
Naturally, these items are completely customizable because you add them yourself: click on the Product menu to create a new product, then check the box for Incoming invoice item.
